    POSITION SUMMARY
    The ESS Clerk performs various administrative and clerical duties in support of the Special Education department at assigned school. Maintains Special Education student files in a confidential manner following appropriate school policies and state and federal government regulations. The ESS Clerk works collaboratively with the Special Education team, scheduling meetings and testing.

    PRIMARY DUTIES AND RESPONSIBILITIES
    • Greets visitors, receives and directs telephone calls and distributes messages to appropriate personnel.
    • Performs the usual office routines and practices associated with a busy yet productive and smoothly-run office.
    • Prepares and completes mailing process of student records or correspondence
    • Assist staff with clerical tasks (i.e. photocopy, print, fax, assemble information packets)
    • Assists with organizing of records, maintaining of Special Education student files, and other permanent records assigned, while protecting confidentiality of student records and information
    • Works with the School Psychologist to assign new students a case manager and communicate the information to the appropriate staff
    • Sorts, screens and prioritizes mail.
    • Schedules special education team meetings, including Individual Education Program (IEP) meetings and Multidisciplinary Evaluation Team (MET) for all case managers using Outlook calendar. Notifies team members, arranges meeting location, sends out meeting notices and calendar invitations
    • Prepares work orders for maintenance repairs.
    • Monitors testing center for students with accommodations
    • Places orders for office supplies, furniture, equipment, and instructional supplies, etc. as needed.
    • Maintains an adequate supply of current special education pamphlets (Parental Rights booklets)
    • May prepare district and state reports, board reports or year end reports.
    • Performs related duties as assigned.

    KNOWLEDGE SKILLS AND ABILITIES
    • Demonstrate general proficiency in computer programs such as Microsoft Excel, Word and Outlook, Google, Zoom
    • Ability to operate standard office and computer equipment.
    • Ability to communicate effectively verbally and in writing.
    • Strong organizational and record keeping skills.
    • Ability to do basic mathematical computations.
    • Ability to apply common sense understanding to solve practical problems and deal with a variety of situations.
    • Ability to maintain confidentiality and use of discretion.
    • Ability to work cooperatively and courteously with staff, students, parents and community members.
    • Perform all duties in accordance with Federal and State laws, district procedures and Board policies.
    • Ability to handle confrontation and conflict without an emotional response.
    • Produce accurate work and complete assignments with minimal supervision.

    QUALIFICATIONS
    • High School Diploma or equivalent
    • 1 year previous general office experience
    • Any equivalent combination of training, education and experience that meets minimum requirements

    While performing the duties of this job, the employee is required to reach with hands and arms. The employee is frequently required to sit and occasionally stand and walk. The employee may be required to move ten pounds and could occasionally lift or move up to twenty-five pounds.

    WORK ENVIRONMENT

    Indoor office environment. This position regularly works indoors. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Will have contact with staff and the public.

    $16.09/hour - 10 Month Position - 40 hours/week
